Post description
Budgeting & Financial Management
- Review the estimate and scope of work;
- Review budgets with the project managers on award of projects;
- Help manage allocated projects so that established budget for each project is met and the margin is protected and maintained/enhanced;
- Ensure both monthly claims to the client and payments from the client are made in accordance with the time frames detailed in the contracts;
- Proactively manage purchase orders on site, controlling usage and expenditure;
- Verify receipt of invoices and approve for payment before cut-off.
Contractor & Supplier Management
- Communicate effectively with consultants, subcontractors and suppliers;
- Facilitate an environment of trust, openness, integrity and honesty, and prevent conflict or contractual issues arising; or resolve by mediation or negotiation;
- Help ensure subcontractors and suppliers lettings are made in accordance with company’s guidelines;
- Be knowledgeable of the terms and conditions of the Head Contracts and subcontractor and supplier contracts including clarifications and exclusions, and authorize approved payments;
- Attend regular meetings with all relevant contractors and consultants and provide projects progress reports.
Project Management & Scheduling
- Help implement project systems and processes in accordance with the company’s standards and PMP milestones;
- Regularly monitor projects performance against detailed project plans and keep project managers informed to ensure the projects do not fall behind schedules;
- Oversee management of the operational and resource requirements for the projects including the timely ordering of onsite products, materials and other resources required;
- Identify changes to the projects that constitute variations. Such changes may result from scope of work additions instructed by the clients or changes to the projects as a result of action by others;
- Ensure robust and credible claims that are contractually compliant, are presented to the clients to cover the cost incurred by such changes plus margins;
- Ensure written contract instructions are obtained for all verbal variations instructed;
- Ensure projects documentation meets statutory, company and operational requirements;
- Prepare a monthly report and other contract reports as required by the Systems & Projects Director or the project managers.
Safety
- Assist with preparation of the projects safety plans;
- Lead by example and promote a proactive health & safety conscious culture;
- Ensure project team follows Alstef’s Health & Safety systems and policies including all sub-contractors;
- Ensure all site activities are in accordance with all relevant codes and standards;
- Make sure that all site operators including clients, consultants, subcontractors and Alstef staff are fully inducted onto the sites;
- Hold weekly subcontractor toolbox meetings when appropriate.
Quality
- Assist with preparation of Project Quality Plans consistent with Alstef quality control procedures and systems;
- Ensure quality targets are met to contractual, legal and Alstef’s standards;
- Ensure regular quality inspections of the projects are carried out;
- Ensure as-built documents, manuals, guarantees, warranties, code of compliance certificate are produced / provided.
Stakeholder Relations
- Maintain effective communication channels with all stakeholders to facilitate an environment of integrity, trust and openness;
- Ensure all client issues are attended quickly and politely to the extent of the job holder’s limits of authority.
Profile required
- Academic qualifications: A tertiary engineering qualification preferred; a mechanical and/or electrical background would be an advantage;
- Professional experience: Min. of 5 years’ relevant experience working on-site in a project environment ;
- Management: Ability to manage sub-contractors;
- Documentation: Proven delivery of projects outcomes, with contractual documentation;
- Working knowledge: sound working knowledge of contractual and commercial issues, financial management, reporting and project scheduling and planning;
- Communication skills: Ability to popularize complex concepts and present them in a clear and accessible manner;
- Digital skills: Proficiency in MS-Office suite ;
- Team spirit: Ability to collaborate effectively with multidisciplinary teams;
- Professionalism: Thoroughness, methodology and sense of responsibility;
- Mobility: Valid passport and availability for business travels.
